Reksoft was contracted to develop and implement an electronic document management system based on EMC Documentum 5.
The challenge of the project was to meet a number of requirements for the future system:
- Government standards compliance,
- Ability to process a bulk of various paper documents,
- Overcoming the complicated and slow flows of documentation,
- Meeting the need for unification of the company's documents,
- Effective document control and monitoring,
- Accounting for the geographically-distributed company structure.
The system automates an array of the company's business processes, related to processing of incoming and outgoing correspondence, and supports the full lifecycle of document management.
Moreover, Reksoft implemented a custom reporting system, which allows for tracking the operating discipline. The system is integrated with a fax server and SSO.
The system is closely integrated with the Documentum Content Server 5.2 which allows using the platform's powerful tools for information management tasks. The system's additional features make it easier to automate the procedures of document processing in the shortest timeframe and migrate from paper document management to electronic formats.
Currently, a total of 400 users at UralSvyazInform actively use the system, processing over two million documents. The implementation of this document management system allowed the Customer to unify and standardize the procedures of document lifecycle, make the whole process transparent and enforce control over execution. As reported by the Customer, UralSvyazInform received a substantial ROI, through tremendously reduced amount of time and resources required for managing paper documents.
